When someone in Mumbai searches for “dentist near me” or “wedding caterer in Thane”, Google often shows a map with three businesses above the normal results. Appearing there can bring phone calls, direction requests and walk-ins without paying for ads.
This guide explains how that ranking works and what you can do about it, step by step. We keep it practical and honest: nobody outside Google controls the results, but there is a lot you can do to improve your chances.
What Google says decides local rankings
Google’s own help pages say local results are based mainly on three things:
- Relevance. How well your profile matches what someone is searching for.
- Distance. How far your business is from the searcher, or from the location they typed.
- Prominence. How well known your business is, based on information Google has from across the web, such as reviews, links and mentions.
You cannot change distance. Someone standing next to a competitor will tend to see that competitor first. But you can work on relevance and prominence. [ADD SOURCE: Google Business Profile help page on improving your local ranking]
Step 1: Claim and verify your profile
Everything starts with a Google Business Profile. If you have not created one, follow our step-by-step guide to setting up a Google Business Profile. If someone else created it, you may need to claim it. Verification proves the business is yours and is required for full control.
Step 2: Choose the right categories
Your primary category is one of the strongest signals for relevance. Choose the one that most exactly describes your main business, not a general one. Then add a few secondary categories for other things you do. Do not add categories that do not apply, because that can confuse Google and customers.
Look at how the top few competitors in your area categorise themselves. This gives hints about the wording Google uses.
Step 3: Fill in every section
An incomplete profile is easy to beat. Check that you have:
- Business name exactly as it appears on your sign. Do not add keywords to the name. This breaks Google’s guidelines and can get your profile suspended.
- Accurate address or service area. If you visit customers and do not have a public shop, use a service area.
- Phone number and website link
- Opening hours, including special hours for holidays
- A clear description of what you do, written naturally
- Services or products with short descriptions
- Attributes that apply, such as wheelchair access or online appointments
Step 4: Add real photos
Photos help customers decide and show you are active. Add pictures of the outside (so people can recognise the place), the inside, your team and your work. Use real photos taken on your phone, in good light, rather than stock images. Add new ones regularly.
Step 5: Keep your details consistent everywhere
Google compares information about your business across the internet. If your name, address or phone number differ between your profile, website and directory listings, it creates doubt. Choose one correct version and use it everywhere. This is often called NAP consistency (name, address, phone).
Start with the places that matter most: your website, Justdial, Facebook, Instagram and any industry-specific directory. Fix old or duplicate listings if you find them.
Step 6: Collect genuine reviews and reply to them
Reviews affect both prominence and trust. Here is how to do it properly:
- Ask at the right moment, when the customer is happy, such as right after a good result or service.
- Make it easy. Send the direct review link from your profile on WhatsApp or print a QR code.
- Reply to every review, thanking good reviews and answering poor ones politely and calmly.
- Never buy, fake or trade reviews. This breaks Google’s rules and can lead to removal or suspension. Do not offer rewards in exchange for positive reviews.
Step 7: Make your website support your profile
Your website should clearly state what you do, where you work and how to contact you. Use the same name, phone number and service area as your profile. Create a page for each main service. Make sure the site loads fast on a phone, because most people will visit from one.

Step 8: Post updates and answer questions
Google Business Profile lets you post updates, offers and events, and answer questions from customers. These show that the business is active and give people helpful details. Post when you have something real to say, such as a new service or a festival timing.
Common mistakes to avoid
- Keyword stuffing the business name. It can lead to suspension.
- Using a virtual or fake address. Google can remove listings that do not match a real location.
- Creating duplicate profiles for the same business.
- Ignoring negative reviews. A calm, helpful reply can win trust.
- Setting up once and forgetting. Profiles that are never updated look abandoned.
- Choosing too many categories or irrelevant ones.
A simple monthly routine
You do not need hours each week. A short routine works:
- Check your profile for wrong details or suggested edits
- Add two or three new photos
- Post one update or offer
- Ask a few recent customers for reviews
- Reply to every new review
- Look at the profile insights to see calls, direction requests and the searches that showed you
How long will it take?
Small changes, like adding photos and fixing categories, can show effects within weeks. Moving up in a competitive area often takes months, because prominence builds slowly. There is no honest guarantee, but consistent work on the basics improves your chances. Read how long SEO takes for a local business for a fuller picture.
